Field Trip Rules & Policies

Thanks for booking a Field Trip with Olympia! We’re excited to host your group for an unforgettable time. To help your event run smoothly, please review the following policies and procedures:

1. Deposit & Payment
A $25 deposit is required to reserve your day and time.

  • Fully refundable if canceled at least 1 week in advance
  • Final payment is due by check on the day of the trip, based on the number of children confirmed 2 days prior
  • Make checks payable to: Olympia Gymnastic Training Centers

2. Release Forms & Supervision

  • All children must have a signed release form from a parent/guardian
  • At least one adult chaperone must remain onsite during the field trip
  • We welcome your staff’s help with group management
  • However, per insurance guidelines, adults may not use the equipment

3. Scheduling
Field trips are scheduled around our existing classes and events, so we recommend booking early to secure your preferred time!

4. Age Guidelines

  • Field trips are for kids ages 3 and up
  • For groups with 10 or fewer, children should be in a similar age range
  • Larger groups will be split by age and assigned to multiple instructors
  • Children under age 3 should not attend, even as observers

5. What to Expect
Each field trip includes:

  • Introductions and a group warm-up
  • A clear explanation of gym rules and safety
  • 1 hour or 90 minutes of structured gymnastics fun and games

6. Group Size

  • Minimum group size is 8 children
  • There is no maximum—just let us know your expected numbers 2 weeks in advance so we can staff appropriately
  • Final payment will be based on your confirmed headcount 2 days prior

7. What to Wear

  • T-shirts and athletic shorts (no buttons, zippers, or buckles) or leotards
  • No shoes, socks, or tights
  • Long hair should be tied back
  • No jewelry, watches, gum, candy, or food allowed in the gym

8. Arrival & Name Tags

  • Please arrive 10 minutes early
  • Field trips must start and end on time
  • If possible, send us a name list ahead of time or have children wear name tags
